           Job Title:         Sales & Marketing Administrative Assistant

       Reports To:         Director of Special Events
Date Prepared:         February 1, 2013                    
 
Summary: Provide administrative support to the Director of Special Events, Banquet department, and Director of Marketing. 
 
Expectations:   
-     Provide platinum service to members, guests, and coworkers while ensuring a clean and safe           environment
-     Know and embrace the mission statement and platinum service basics
 
Essential Dutiesinclude the following (other duties may be assigned):              
  • Greet members and answer telephones in the Special Events office; direct calls appropriately
  • Coordinate details for internal club events (i.e. weekly meetings and events for all departments)
  • Compile and distribute weekly forecast, which includes Banquet Event Orders (BEOs), to all appropriate departments
  • Communicate daily changes/updates to BEOs to all appropriate departments
  • Type and mail confirmation letters
  • Maintain office records and files
  • Assist with typing BEOs
  • Perform general administrative duties for Director of Special Events and Director of Marketing, including but not limited to, answering telephone calls, scheduling appointments, typing, and filing
  • Assist with delivery of itemized invoices for functions to hosts
  • Assist with maintaining database of sales and create reports as necessary
  • Prepare monthly sales and participation reports and track weekly revenue
  • Maintain receipts of all deposits paid for functions
  • Maintain inventory of office supplies and equipment
  • Maintain full and accurate banquet sales packets, which include menus, policies, etc.
  • Collect Special Events mail daily from the Front Desk
  • Become proficient in reporting software and create reports as requested
  • Maintain Club, master, and community calendars
  • Execute marketing department schedule as established by Director of Special Events
  • Research appropriate activities and décor for Club events as needed
 
 
Education and Experience:   
High school diploma or G.E.D. equivalent
Experience required (2+ years) as Administrative Assistant
Must be proficient in Microsoft Office
 



Physical Demands:   
The physical demands here are representative of those that must be met by an employee to successfully perform the essential functions of the job:
 
Employee is required to regularly stand and walk
Employee is required to sit for lengthy periods of time
Employee is regularly required to use hands and fingers
 
                          
Minimum Age Requirement:
It is Club policy not to hire any employee under the age of 16
Must be at least 18 years old in order to serve alcohol
Must be at least 21 years old in order to tend bar (includes all Banquets serving staff)
